As we incorporate AI into our marketing at Octane, I can confidently say that it is a smart move.  AI helps us improve output, enhance creativity, and automate repetitive tasks. But, because the technology is new and ever-changing, I also think it’s a great idea to write a company policy for responsible AI use. It can help your company to avoid offensive content, deepfake backlash, inaccuracies and protect confidentiality. Here are a few things I think you should consider when drafting an AI use policy for your employees.

Human Oversight

Encorage your organization to think of AI as an assistant to the creative process. Use AI as a method of gathering your thoughts and generating ideas, but not for creating output that clients and customers interact with directly. This way, your marketing team can fact-check and craft the content to fit your own brand and style. 

Also, human oversight ensures that you avoids publishing content with unintentional bias, incorrect information, copyright infringement or discrimination that may show up in raw AI output.

Disclosure

Decide as a company how you will disclose to your customers and clients when they are interacting directly with AI. Find ways to let people know if your company is utilizing a chatbots or interactive voice response. These disclosures are important to protect your customer service reputation. And, to protect your branding from backlash, be sure to indicate if you post or re-post AI generated content directly on your social media platforms. 

Privacy

One important guardrail for AI use is to implement guidelines for how your employees input information into public AI platforms such as ChatGPT or Gemeni. Companies should not feed client data or sensistive information into a public AI system, because it will retain the data. Also, if your company has proprietary assets, research or data, it should never be shared with public-use AI.
